Purpose Statement
The job of Coordinator I - Finance is done for the purpose/s of providing support and training for new and returning personnel on financial systems and processes. The Coordinator I - Finance additionally provides support for department functions and resolving related problems, providing information and training to staff, ensuring accuracy of information; complying with district, state and federal regulations; and supporting assigned administrator and/or supervisor.

Essential Functions
- Analyzes and coordinates budget data as assigned for the purpose of resolving budget variances and evaluating compliance with district and state requirements.
- Assists in developing and reviewing school finance policies and procedures for the purpose of ensuring compliance with district, state and federal requirements.
- Compiles, analyzes and prepares financial information for the purpose of providing accurate financial information, including journal entries, deposits, expenditures, and reports.
- Maintains a wide variety of manual and computerized records, files and databases for the purpose of supporting school and district finance, providing reliable and timely information, and complying with district, state and federal requirements.
- Manages vendor/customer database for the purpose of maintaining accurate contact and tax information for adherence to district, state, and federal regulations.
- Monitors accounting system and bank reporting for the purpose of ensuring accurate and timely processing and reconciliation of financial records and compliance with district policies and procedures.
- Processes a variety of documents, forms and materials (e.g. updates records, training materials, letters, etc.) for the purpose of for the purpose of improving processes and ensuring compliance with district, state and federal requirements.
- Administers the school’s financial processes for the purpose of ensuring processes are completed in a timely, accurate manner and comply with district, state and federal regulations.
- Coordinates a variety of activities for the purpose of providing direction to school staff, ensuring accurate and timely processing of transactions and reports, and complying with district, state and federal regulations.
- Orients new and returning personnel on the use of financial systems and processes for the purpose of providing information and ensuring staff are knowledgeable of, and are in compliance with, district financial policies and procedures, as well as best business practices.
- Participates in meetings, workshops and seminars for the purpose of conveying and/or gathering information, developing knowledge required to perform job functions and meet district objectives.
- Processes financial information for the purpose of updating and distributing information, authorizing for action and/or complying with established accounting practices.
- Responds to inquiries from a variety of sources (e.g. internal parties, external parties, etc.) for the purpose of providing information, processing payments, facilitating communication among parties and /or providing direction.
- Reviews and reconciles financial information and researches discrepancies for the purpose of maintaining accurate school and district records, account balances, and ensuring compliance with accounting practices.
Other Functions
- Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities.
- Performs other duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
- Supports assigned administrator(s) and supervisor(s) for the purpose of providing assistance with their administrative functions.
Job Requirements: Minimum Qualifications
Skills, Knowledge and Abilities
SKILLS are required to perform multiple, technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment; planning and managing projects; preparing and maintaining accurate records; and utilizing, testing and troubleshooting pertinent software applications.
KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read technical information, compose a variety of documents, and/or facilitate group discussions; and solve practical problems. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: concepts of grammar and punctuation; office software; bookkeeping principles; business telephone etiquette; accounting software systems; effective business practices and records management.
ABILITY is required to schedule a number of activities, meetings, and/or events; gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others in a variety of circumstances; work with data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with a diversity of individuals and/or groups; work with data of varied types and/or purposes; and utilize job-related equipment. Problem solving is required to analyze issues and create action plans. Problem solving with data frequently requires independent interpretation of guidelines; and problem solving with equipment is limited. Specific ability based competencies required to satisfactorily perform the functions of the job include: working with constant interruptions, adapting to changing work environment and/or priorities; being attentive to details, meeting deadlines and schedules; adhering to district policies; maintaining confidentiality; establishing effective working relationships; and regular attendance except when taking approved leave.
Responsibility
Responsibilities include: working under limited supervision using standardized practices and/or methods; leading, guiding, and/or coordinating others; monitoring budget expenditures. Utilization of resources from other work units is often required to perform the job's functions. There is a continual opportunity to impact the organization’s services.
Working Environment
The usual and customary methods of performing the job's functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 80% sitting, 10% walking, 10% standing. This job is performed in a generally clean and healthy environment.
Experience Job related experience with increasing levels of responsibility is required. Experience in K-12 schools and with Business Plus software is preferred.
Education Targeted, job related education with study in job-related area.
